PRESIDENT – Julie Hayes

  • Provide board leadership, coordinate and organize board meetings

  • Work with board members to develop meeting agendas and meeting materials

  • Promote cooperation and collaboration among board officers, coordinators, committees

  • Work with board members and community leaders on strategic planning

  • Help guide board actions for organizational priorities, governance, consensus building

  • Help with financial planning, budgeting, fundraising

  • Work with Publicity and Outreach Coordinator and board members to conduct community outreach, and form partnerships with community organizations

VICE PRESIDENT – Craig Kurumada

  • Substitute for President as needed

  • Assist President and Secretary with organizational duties as needed

  • Work with President and community leaders on strategic planning

  • Lead annual evaluation of the Board toward achieving the organization’s mission

  • Lead the search for new board members, help with new board member selection & orientation

 

SECRETARY – Craig Kurumada 

  • Take meeting minutes and make them available to board members and the community

  • Organize and maintain records on Google Drive (Pat & Linnea have been doing this)

  • Maintain and update master database (Linnea has been doing this)

  • Organize passwords and logins to all accounts and social media, make info available to all board members in a convenient place

  • Publish a monthly newsletter and send it to the Raks mailing list

 

LEGAL STUFF & GOVERNANCE COORDINATOR – Craig Kurumada 

  • File Articles of Incorporation and update as needed

  • Maintain Bylaws and coordinate updates and additions as needed

  • File annual reports with the State of California and the IRS

  • Upload and file copies of all legal documents on the Google site

  • Work with board members to develop Policies and Procedures for the organization

 

TREASURER – Linnea Mandell

  • Check all boxes at studio for payments, rental applications, donations, scholarship forms

  • Collect rent from building users, make sure everyone has paid

  • Record rent payments and email receipts

  • Work with Site Manager to account for private practice payments according to the calendar

  • Work with Site Manager team to calculate rent for special events

  • Collect and return special event deposits, provide accounting for any deductions

  • Work with Site Manager team to make decisions for organizations and individuals requesting free or discounted use of space, trades, or any payments varying from Rental Rates schedule

  • Replenish forms as needed in studios: rental applications, rental rates, scholarship application forms, liability release forms etc. (not exactly a treasurer duty, but I've been doing it)

  • Pay bills, charge accounts, studio rent, site managers hours, bookkeeper

  • Fill out annual tax form, pay county taxes

  • Order checks, check registers, deposit slips

  • Provide financial information to bookkeeper on a regular basis

  • Work with Site Manager and bookkeeper to create, update, and monitor annual budgets

  • Acknowledge donations (or delegate and oversee completion)

  • Work with the Raks board on fundraising efforts

 

BOOKKEEPER - Pat Quinn

  • Create monthly financial reports for the board and community

  • Prepare financial reports needed for annual budgeting

  • Work with Treasurer to create and update budget

  • Balance the Collaborative’s general and scholarship checking accounts

  • Provide financial data as needed for grant or loan applications and state and federal reports

  • Prepare financial reports needed for tax return

  • Complete non-profit organization tax return (or delegate to a paid tax preparer)

 

SITE MANAGER – Pat Quinn 

  • Answer phone, emails, texts, provide info and direct callers to appropriate person

  • Act as ambassador to potential renters, show people around facility

  • Distribute rental applications, special event applications, rental rates sheets (or direct people to downloads from web site

  • Maintain online schedule of building use

  • Develop and manage rental agreements for all building users

  • Collect and upload insurance forms for all building users, check for expiration dates

  • Explain how to turn off lights, lock doors, open curtains, use sound equipment, heaters, lights

  • Explain the cleaning which renters are responsible for, show where supplies are

  • Act as opener/closer for special events, or find people to do it

  • Check cleaning after events and give Treasurer information about returning deposits, let custodian know if additional cleaning is needed

  • Distribute and collect keys as needed

  • Schedule one time and last minute rehearsals

  • Act as emergency person to call if something comes up at the site

  • Work with Custodian to keep track of supplies and purchase more as needed

  • Offer paid site management or security help for events if desired by renters

  • Monitor fire extinguishers for annual inspections

  • Work with Site Manager team to list and prioritize maintenance and remodeling projects

  • Get bids and cost estimates for repair, remodeling, and improvement projects

  • Water plants on back patio (Craig has been helping with this)

 

TECHNOLOGY COORDINATOR – Cailan Halliday

  • Oversee internet services for the studio, purchase and set up equipment as needed

  • Work with the board to evaluate sound needs and purchase and set up sound equipment

  • Work with Site Manager to respond to calls from renters needing technology help

  • Work with Site Manager to remove/dispose of equipment no longer needed

 

PUBLICITY AND OUTREACH COORDINATOR – Adrienne Kerr

  • Work with Site Manager to update and improve Redwood Raks Collective web site

  • Work with Site Manager and board members to monitor and update social media, conduct community outreach, and form partnerships with community organizations

  • Act as board liaison to the community, and/or delegate as appropriate

  • Maintain flyer boards

 

COMMUNITY LIAISON – Open Position

  • Coordinate teacher communication and outreach activities

  • Coordinate content and distribute Code of Conduct/Sexual Harassment Policy document

 

CUSTODIAN – Jamie Smith 

  • Clean all areas of the site on a regular basis: dust and damp mop floors, clean bathrooms, sweep and dust as needed, clean entry outside front door

  • Work with Site Manager Team to coordinate volunteers helping with additional cleaning, organization, and maintenance tasks

  • Work with Site Manager to keep track of supplies at the site and purchase more as needed

  • Collect lost and found items and empty when needed

  • Work with Site Manager to address building maintenance needs

  • Empty dehumidifier in green room
